Description of Tool or App


The Google Drive App allows documents to be stored, accessed, and shared from anywhere on nearly any device, including iPhones and iPads and Android devices. The app allows multiple users to view, edit, and rename Google documents in real time. Once a document is opened in the Google Drive app, the document will automatically be updated to reflect the latest version. The Google Drive App also makes files available to view offline, and it allows third party apps to open unsupported file types, and it stores the files in your drive.

Constraints of Tool or App


  • If your school has issued you a google apps for education account, you may be prohibited from accessing certain features.
  • Collaborators must be invited to share the document via email.
  • Unlike the web version, documents cannot be shared right from the document. You must close out the document and find it in the My Drive folder, open it, and share it from there.
  • The Google Drive App does not allow users to create or modify presentations.
  • Inappropriate for sharing confidential information since sensitive data may be compromised.
  • Google spreadsheets can only be viewed and edited through the mobile browser, which is not user-friendly.
  • There is no trash on the app, which means anything you move to the trash will still show up in search results and be viewable on the web only.



How To Use Tool or App

  1. If you do not already have a Google account, use your mobile browser to go to google.com.
  2. Create a Google account by selecting the sign in button, then selecting the sign up tab to register your account.
  3. Fill in all the required information. Note, you will need to provide a mobile phone number or alternate email address to proceed.
  4. Close out of your web browser and go to your app store.
  5. Search for the Google Drive app, select it, agree to terms and conditions, and click install.
  6. Once installed, click open.
  7. You will see a list of categories to choose from to view your items.
  8. You may choose from the My Drive folder, which contains all items stored on your drive, Shared With Me, which contains only items that someone has shared with you, Starred, your starred items, Recent, your recently opened items, or Offline, your items available to view offline.
  9. You may also click the document icon in the upper right hand corner next to the search icon to create a new folder or document.
  10. To create a new document, select new document and give it a name.
  11. Type in the document as you would in any word processing program. Fonts and formatting tools are above the document.
  12. When you complete the document, hit the button that says DONE.
  13. To share the document, close out of it and go back to the My Drive folder.
  14. Find the document in the My Drive folder and select it to open.
  15. Scroll to the bottom of the document and choose Add People.
  16. Note, you can also make the document available offline by checking the box.
  17. Type in the email of the person you wish to share with or first name (if he or she is in your contacts list) and select add.

IDEAS for Tool or App

Student

  • The Google Drive mobile app allows students to participate in peer editing without having to edit face-to-face. Students often feel uncomfortable critiquing each other's work when they are seated right next to each other.
  • Collaborative projects, such as science experiments or group essays, can easily be shared and edited by everyone.
  • Students can use the Google Drive app to reflect or journal and share the document with their teachers for grading or feedback.

Teacher

  • Collaborative lesson planning no longer has to be completed in face-to-face meetings. Creating a shared document that can be edited in real time allows teachers to collaborate without losing the time that sometimes occurs in face-to-face meetings. It also allows full participation since collaboration can occur from anywhere.
  • Meeting minutes can be tracked, updated, and shared.
  • Common documents, such as permission slips and other institutional forms, can be housed in the Google Drive app so teachers have easy, instant access.
